A picturesque 18-hole championship golf course and free-roaming wildlife are just some of the fantastic offerings on this Eco Estate. Villa’s range from 2 bedrooms to 6 bedrooms and each villa is unique.

Important Information

Before confirming your booking, kindly ensure that you have read the below terms and conditions as there are additional fees (OPENING/CLOSING, ADMINISTRATION & REFUNDABLE SECURITY DEPOSIT) that are not automatically added to your booking. 1. INTERPRETATIONS:
The headings to the clauses are for reference purposes only and shall not aid in the interpretation of the clauses to which they relate; Unless the context clearly indicates a contrary intention, words importing one gender includes the other gender, the singular includes the plural and vice versa, and natural persons include created entities (corporate or incorporate) and vice-versa.

2. PAYMENTS
Deposit – In order to secure your booking, 50% of the total booking amount is required and due within 24 hours of invoice. Should this not be adhered to, your booking dates may automatically be released to allow other guests to book.
Your booking will only be confirmed upon receipt of the required deposit proof of payment. (We do not “keep/hold” bookings) and once you have made the deposit payment it is deemed that you have agreed to our terms and conditions whether the booking form has been signed or not.
Balance - The remaining 50% of your total booking amount is due no later than 30 days prior to your arrival date. Should this not be adhered to, your booking may automatically be cancelled without refund to allow other guests to book.
Should your booking dates fall within the above payment periods, the full booking amount is required upfront as soon as you receive an invoice.
For bookings of 1 month or more, the total booking amount is required in full and upfront as soon as you receive an invoice.

Kindly note that EFT payments are our preferred method of payment as cash deposits incur bank charges. Should you make a cash deposit, the bank charges will be for your account and will automatically be deducted from your security deposit before any balance is refunded.
NB: Please use the booking reference (top right of the booking form) when making all payments.


3. CANCELLATIONS
No cancellations will be accepted unless we are notified in writing and shall only be affected on the date of actual receipt by Selborne Villa Rentals.
In the event that you need to cancel your booking, regardless of the reason for doing so, cancellation fees will be calculated by reference to funds received at that point OR;
Cancellations made one month or more prior to arrival – a cancellation fee of 20% will be levied.
Cancellations made 16-30 days prior to arrival – you will forfeit 50% of full cost of booking.
Cancellations made 8-15 days prior to arrival – you will forfeit 75% of full cost of booking.
Cancellations made 7-0 days prior to arrival – you will forfeit 100% of full cost of booking.
Non-arrival or curtailment of stay will incur the full cost of booking.
Any cancellations made in terms of these terms and conditions shall be subject to the following deductions and administrative charges: Refunds to credit cards: the relevant cancellation fee, less a 5% credit card surcharge and an administrative charge. Direct bank deposits: the relevant cancellation fee, less actual bank charges debited by Agent’s bankers, less an administrative charge. Forex transfers: the relevant cancellation fee, less actual bank charges debited by Agent’s bankers, less an administrative charge. Cash payments: the relevant administration charges, less actual bank charges debited by Agent’s bankers, less an administrative charge.

4. OPENING/CLOSING FEE
A once off opening/closing fee of R950 per villa is applied to ALL bookings.
PLEASE NOTE: Unfortunately, these additional fees are not reflected in your payment totals when making your booking online as the Nightsbridge system we use does not allow for this to be shown, however, they will be reflected on your proforma invoice which we will send to you once we receive your booking request from Nightsbridge.

5. SECURITY DEPOSIT
A refundable security deposit is applied to ALL bookings.
Amounts will vary according to the Villa booked - with a minimum amount of R 2,000.
Once an outgoing inspection has been performed after departure, security deposit refunds will be processed provided that the unit is left in the same conditions as found on your arrival. Please be patient, this is a time-consuming process and payments are not made daily. Your refund should reflect in your account within 15-30 working days.
Your banking details are required to enable this refund payment.
Kindly report any damages to the Villa within 24 hours of arrival , failing which the apartment/villa will be deemed to have been in good order.
In the unfortunate event of breakages during your stay, kindly notify the office of such immediately to discuss the replacement of the damaged item.
Should any damage/loss be discovered upon outgoing inspection, the repair/replacement value will be deducted from your security deposit before any balance is refunded.
Should the repair/replacement cost of the damage/loss exceed the security deposit amount being held, you will be invoiced and liable to pay the difference immediately on request.
Strictly no smoking is permitted indoors at any of our Villa’s. We respectfully ask for your full cooperation and consideration in this matter. Smoking is allowed outside on the patios and balconies or any open area on the premises. Should we suspect that smoking has taken place indoors, you may be fined, liable for additional deep cleaning fees and/or lose your security deposit and/or face prosecution.

6. ESTATE SECURITY / RULES & REGULATIONS
Estate access - Every vehicle entering the estate requires an access barcode and every driver of a vehicle requires a driver’s licence. No vehicle will be allowed to enter or exit the estate without both on their person.
In order to process barcodes, the full names, cell numbers and Identity/Passport number of each driver of a vehicle must be provided on the booking form. The access barcode/s will only be sent to you via SMS once the completed booking form and proof of payment in full is returned to [email protected] This will provide access to Selborne Golf Estate as well as Selborne Private Beach Club (situated 3 km’s from the estate at Pennington Beach).
If you will be driving a hired vehicle and do not yet know the details of the vehicle, please indicate this on the booking form.
Conduct Rules – You are required to adhere to all relevant sections. Kindly ensure that you familiarize yourself with these before your arrival.
Golf Carts – MAY ONLY BE DRIVEN BY A LICENSED DRIVER OVER THE AGE OF 18 YEARS AND MAY NOT BE DRIVEN OFF OF THE ESTATE. ABUSE OF CARTS WILL RESULT IN THE CART BEING CONFISCATED AND A FINE BEING IMPOSED (FINES FOR 1ST OFFENSE - R 250, THEREAFTER - R 2,500) GOLF CARTS MAY ONLY BE DRIVEN ON THE GOLF COURSE WHEN PLAYING GOLF.
Please note that the golf course is for golfers. Estate guests/visitors are strictly prohibited from walking around on the course between 07h00 am and 17h00 pm. (subject to change if golfers are on the course outside of these times) It is extremely dangerous, and you may be hit with a fast-moving golf ball which could seriously injure or even kill you.
Fishing of the dams is allowed before 07h00 am and after 17h00 pm (subject to change if golfers are on the course outside of these times) Fishing is on a catch and release basis, barbless hooks must be used.
Disturbances - Selborne Golf Estate is an Eco Estate. Loud noise/music, excessive drinking and parties are not permitted. Guests come to enjoy the peace and tranquility, play golf, enjoy walks, and experience the wildlife. Please note that should security need to be called out to a disturbance of any nature, a fine of R 1,000 will be incurred and deducted from your security deposit before any balance is refunded.
Parking – Additional vehicles and trailers must be parked at the golf club parking.
Occupancy – The number of guests in each Villa (including children over the age of 2) may not exceed the standard number of beds.
Day Visitors – Should you wish to have any day visitors this needs to be specified on the booking form and an access barcode will be sent to your guest via sms. Be advised that this access code is only valid until midnight on the day of visit when it will expire, and security will be alerted. Visitors are not permitted to overnight unless by prior arrangement and an additional charge will be levied.
Pets – Selborne Golf Estate is and Eco Estate with buck, monkeys and other wildlife roaming the estate freely and as such no domestic animals are permitted on the estate. Kindly adhere to Selborne’s House rules with regards to feeding of wildlife and protecting the environment.

7. ARRIVAL/DEPARTURE TIMES
Check in - After 14h00 on date of arrival
Check out - By 10h00 on date of departure
Unless prior arrangements have been made, a surcharge of R 300 will be levied on early arrivals and late departures.
Departures after 12h00 will be charged an additional full night’s rate.

8. KEYS & INTERNAL BOOM ACCESS CARDS
Villa keys and internal boom access cards can be collected from the Villa Rentals office during business hours (8:00am - 17:00pm)
Villa Keys can be collected from the Hotel reception after hours, public holidays and weekends.
Once on the estate, proceed to the end where the sand road is ahead of you, follow the road as it bends to the right and park at the golf club parking area on your left.
Our office is situated back across the road from the club parking area, behind the Pro-shop. Pass between the pro-shop and golf carts and at the right at the end of the building you will see a pathway on your right directing to “Villa Cleaning & Rentals”.
NB: PLEASE DO NOT GO THE BODY CORPORATE OFFICE TO COLLECT OR DROP OFF VILLA KEYS AND INTERNAL BOOM ACCESS CARDS.
Guests who drop keys and access cards at the Hotel Reception or Body Corporate office will be fined.
Before departure, kindly ensure that you close all windows, lock all doors, and drop the Villa keys AND internal boom access cards into the white key box situated outside our office.
Lost keys or keys not returned on departure will result in all locks and all keys being replaced at the Villa. This will be for your cost and will be deducted from your security deposit before any balance is refunded.
Lost internal boom access cards or cards that are not returned before departure will also incur a cost for your account which will be deducted from your security deposit before any balance is refunded.

9. HOUSEKEEPING
If serviced, your housekeeper is there to make beds, tidy up and wash dishes. Please bare with her as she may be responsible for cleaning more than one Villa on the same day.
If you are satisfied with the service you have received from your housekeeper, a gratuity would be most welcome.
Kindly note that staff are not contracted to do personal laundry, however, you are more than welcome to ask her to assist, which she will do, providing she has the time and is suitably compensated for the extra work.
Please note that if the Villa is left in an unreasonable state upon departure, a fine of R 500 will be levied and deducted from your security deposit before any balance is refunded.

10. GENERAL
Kindly note that your chosen accommodation is a privately owned and managed Villa within Selborne Golf Estate and is therefore not part of either Time Share nor Selborne Hotel & Spa.
Selborne Villa Rentals reserve the right to substitute the booked or applicable Villa/Apartment with another similar or higher quality Villa/Apartment should the chosen Villa/Apartment not be lettable for any reason whatsoever.
NB: The Selborne Body Corporate nor its employees are not to be contacted.
Should you require assistance with anything at all during your stay or to report breaches of conduct by other residents, security problems or maintenance problems, kindly contact either of the following persons who will notify the relevant parties:

Included in the cost of booking is the charge for the use and consumption of all electricity and water. We kindly request that you use electricity and water sparingly and only according to your needs. In the unlikely event that you consume a disproportionate amount of electricity and water, Selborne Villa Rentals have the sole discretion to deduct any amount which we deem fit from your security deposit before any balance is refunded. Selborne Villa Rentals, The Body Corporate or their employees shall not be held responsible for cases of power failure, water supply problems or any other matters for which third parties are responsible.
Selborne Villa Rentals may further in our sole discretion cancel or terminate a booking or any remaining part thereof in the event of any illness or the illegal or incompatible behaviour of a guest/visitor, with but not limited to the aforesaid who shall, in those circumstances, not be entitled to any refund. Any extra costs occasioned by such cancellation or termination shall be payable by you on demand.

Please be advised that should you make use of any of the Estate facilities, you do so entirely at your own risk, and you are solely responsible for ensuring that all Estate rules and regulations regarding the facilities and their use are adhered to. Furthermore, you are subject to all penalties arising from any misuse of said facilities and Selborne Villa Rentals will not assume any liability whatsoever.

12. DISCLAIMER NOTICE/INDEMNITY

Guest/s attend this establishment at their own risk. The Proprietor, Owners, Trustees, its agent/s, management and/or its employee/s (“the Proprietor”) shall not be liable for, and the guest/s hereby waive/s and abandon/s any claims of whatever nature including but not limited to that for theft, injury, accidental death, illness sustained or suffered, loss, or damage of whatever nature occurring within or arising from your visit to Selborne Park Golf Estate, against the Proprietor, whether arising from the Proprietor’s default, negligence or otherwise. The guest/s, in addition to the aforesaid, hereby indemnify the Proprietor against any claims which may arise from whatever nature, whether arising from the Proprietor’s default, negligence or otherwise.
